FOR PTA PRESIDENTS

Volunteering to serve as a local unit PTA President is a huge undertaking, but one that makes a real difference, not only in your school but for our entire school system.

 

Together, the team at Fairfax County PTA supports hundreds and hundreds of fellow volunteer leaders. Our goal is to assist you at every step of the way, including the following trainings, resources and information!

PRESIDENT'S
MONTH BY MONTH

Use this guide to help you keep track of your must do items!

JUNE

> By June 15: Update officer contact info at vapta.org.

> By June 30: Submit dues collected since March 1 to Virginia PTA and FCCPTA.

> Review bylaws.

> Hold transitional Executive Board meetings with old and new officers.

> Review and update standing rules and committee procedure books, and develop

procedure books for new positions.

> Schedule audit after July 1 and organize a committee.

> Have new officers subscribe to school board newsletters on FCPS "News You Choose."

> Confirm the Reflections deadline and communicate to students.

JULY

> Meet with your principal to review goals, plans, and projects. Confirm when PTA information needs to be available for the school’s Welcome Back communications.

> Plan school-year calendar of PTA activities, with Principal's input.

> Plan membership drive.

> Financial matters: develop a budget, have Treasurer file 990, conduct a financial review, and have the committee meet.

AUGUST

> Hold an Executive Committee (officers) meeting to set goals, committees, and schedule for the year.

> Revise and update your website, newsletter/email, social media strategies.

> Develop and post your calendar with membership meeting dates.

> Hold an Executive Board meeting to review programs, projects, calendar, and budget (officers and committee chairs).

> Make sure your Reflections Committee is prepared. 

SEPTEMBER

> Hold the first general membership meeting and vote on the proposed PTA budget, adopt the fiscal year-end audit, and upload 990 forms to MemberHub.

OCTOBER

> Confirm with Treasurer when 990 is due to IRS. Ask Treasurer to copy you on the confirmation email to Virginia PTA. 

> Remind your Treasurer that all dues must be paid on time so your Local PTA remains in “Good Standing.” 

NOVEMBER

> Confirm Treasurer is up to date with FCCPTA and Virginia/National PTA dues deadlines.

DECEMBER

> Review your goals, programs, and budget to see if they need revising.

JANUARY

> Organize a nominating committee.

> Make appointments with your representatives for Virginia PTA’s Day in Richmond, attend or send a designee.

FEBRUARY

> Elect a nominating committee (check your bylaws to see when and how this election occurs).

> Ask Executive Board members to inform the nominating committee of their intentions for the next school year.

> Remind Treasurer that all dues collected since Dec. 1 must be sent to FCCPTA and Virginia PTA via Memberhub by March 1.

MARCH

>  Plan for Teacher Appreciation Week and adjust budget if necessary during the membership meeting.

> Have the nominating committee report the slate of proposed officers as stated in bylaws.

APRIL

> Remind board members to update procedure books and include recommendations.

> Arrange the audit of books when they close at the end of your fiscal year.

MAY

> Celebrate Teacher Appreciation Week.

> Hold election of officers (this may happen in June, so check your bylaws).

>Confirm Treasurer is up to date with FCCPTA and Virginia/National PTA dues deadlines.

> Meet with the incoming president and encourage other officers to meet with their successors.
