Fairfax County Council of PTAs Reflections
 "Turn-in" Instructions

Turn-in Date:  Friday, November 14
 
Location:  Hayfield Secondary School (entrance #9)
 
7630 Telegraph Road, Alexandria 22315
(Corner of Telegraph and Hayfield Roads)
 
 Enter the school grounds at the southern most entrance (adjacent  to the bank parking lot).  Following the access road around to the back of the school to the parking area near entrance # 9.  Use entrance #9 and enter the building. 
 
TIME:  1:30-7:30pm
 NOTE:  Entries cannot be accepted at any time other than those
designated due to school scheduling and volunteer availability.
 
Only FCCPTA Volunteers can accept your entries. 
Turn-in must be in person. DO NOT use the FCPS Pony system. 
Hayfield SS staff cannot assist with accepting entries.
Do not call the school with questions.
 

All Reflections entries must be turned in for county judging on November 14.  Because of building and volunteer schedules, we regret we will be unable to accept entries at any time other than the turn-in event.  Unit chairs unable to accommodate the schedule should make alternative arrangements by asking a neighbor, friend, or parent from your school community to take the works for you.

 

A minimum of 10 volunteers is needed to handle check-in, sorting and storing of entries.  Please reply to this message with the hour(s) you are able to help.  Shifts can accommodate personal schedules, but we are generally looking for volunteers from 1:00 -- 4:30  pm and/or 4:30 – 8:00 pm.  Please click here to send Ramona Morrow an email indicating your willingness to help.  Thank you.

 Important Requirements- Check List

 

Reflections chairs are responsible for ensuring that all works submitted for judging comply with Reflections rules and council requirements.

 

 1.   Submit Outstanding Interpretation (1st Place) Winner - entry per art category per age group. (no ties).   Make sure all entries meet all criteria of judging.

2.   Portfolio Use-All works from a school should be submitted in either a jumbo size zipper-style plastic bag or an art portfolio.  (The largest-sized Ziploc brand bag will accommodate the largest-permitted size art piece.)  All works will fit into one bag.  The bag or portfolio must be labeled with the complete unit/school name (please no abbreviations), Reflections chair name and contact information (phone and/or email).  Works will be returned to the Reflections chairs in these packages.  (please do not use shopping bags)

3.   Art works mounted, packaged, completed correctly

4.   Student Entry Forms.  

o        Complete and signed by both student and parent

o        Complete artist statements

o        No abbreviations used for school names

o        Attached according to directions. (see chart below)

   5.  Unit submission forms fully completed- Click here to obtain a copy of the 2 page form.  Please fill out both forms - type if possible)

o        Fill out (please type) the Local Unit Participation Form and Tracking Form. (attached to this email)

o        Plan to wait as student works are checked for proper completion of entry form, packaging, and completion of Participation and Tracking Forms.­    

     6.   Make sure all entries meet the following rules—including packaging requirements.

 
Dance Choreography
1.   DVD or CD (original and one copy)
2.  DVD or CD placed in a plastic or cardboard container and mark the container with student’s name, grade division, state, and year.
3.  Place in 9”x 12” or 10”x13” manila envelope with clasp
4.  Completed/Signed Official Entry Form placed in clear sheet protector and taped to back of manila envelope
 
Film/Video Production

1.  DVD or (original and one copy)

2.  DVD or CD placed in a plastic or cardboard container and mark the container with student’s name, grade division, state, and year.

3.  Place in 9” x 12” or 10”x13” manila envelope with clasp.

4.  Completed/Signed Official Entry Form placed in clear sheet protector and taped to back of manila envelope

 
Literature
1.  No larger that 8.5” x 11” (original and one copy)
2.  Write the student’s name (pencil) on the back of each page
3.  Place in 10”x13” manila folder
4.  Completed/Signed Official Entry Form placed in clear sheet protector and taped/Stapled to back of manila folder
 
Music
1.  CD (original and one copy)
2.  CD placed in plastic or cardboard container and mark the container with student’s name, grade division, state, and year
3.  Place score and media in 9” x 12” or 10”x13” manila envelope with clasp
4.  Completed/Signed Official Entry Form placed in clear sheet protector and taped/Stapled to back of manila envelope
 
Photography
1.  Not larger than 11”x14” (including mat)
2.  No slides or transparencies
3.  Completed/Signed Official Entry Form placed in clear sheet protector and taped to back of photo
 
Visual Arts
1.  No larger than 24”x30” (including mat)
2.  Not to exceed 3/8” thickness
3.  No frames
4.  No 3-D artwork

5.  Mount on sturdy backing such as foam core or mat board

6.  Completed/Signed Official Entry Form placed in clear sheet protector and taped to back of art work
